Sourcing from Overseas: A Step-by-Step Guide

Sourcing ceramic tile from Overseas involves distinct stages—from defining product specifications to managing customs clearance. This guide outlines the critical steps to ensure a successful import process.

 Before we contact suppliers, you should set up a clear product specification to ensure accurate quotes.

  

Product Details:

  1. Type:Ceramic, porcelain, mosaic, etc.
  2. Size:Standard (e.g., 600 \times 600\text{mm}) or large format.
  3. Finish/Usage: Matte, polished, rustic; indoor vs. outdoor; wall vs. floor.
  4. Quality Standards: Specify technical metrics like water absorption rate, wear resistance (PEI rating), and dimensional accuracy.

Quantity & Logistics:

  1. Volume: Determine the quantity, keeping in mind that factories often have Minimum Order Quantities (MOQs).
  2. Budget: Set a target unit price.
  3. Timeline: Define your required delivery date.

Finding a reliable manufacturer is the most critical step. The primary hub for ceramic production in China is Foshan (Guangdong Province).

Sourcing Methods:

  

  1. We attend all Trade Fairs to meet manufacturers face-to-face.
  2. CeramBath (Foshan): April 18 – 23, 2026 (44th Edition). Dedicated specifically to ceramics and bathroom fixtures.
  3. Canton Fair (Guangzhou) - Phase 2: April 23 – 27, 2026. Focuses on building materials, furniture, and home decor.
  4. We have a Manager in China (Kenny Pansen): He handles all factory visits and quality checks.

Vetting Criteria: 

  1. Verify export licenses and product certifications.
  2. Check the factory's history, production capacity, and experience exporting to your specific country.
  3. Request Samples and Negotiate

Samples: 

  1. We never place a large order without seeing a physical sample.
  2. Verify color, texture, finish, and quality against your specs.
  3. Assess how well the supplier handles packaging and shipping of the sample.

Negotiation:

  1. Price Terms: All our quotes are FOB your warehouse. We include in the price supplier costs to the port, ocean freight, custom duties and freight from the port to your warehouse. 
  2. Payment: Standard terms are typically a 30% deposit to start production and the 70% balance before shipment.
  3. Lead Time: Confirm the production timeline (e.g., 20–30 days after deposit).


  

Ceramic tiles are heavy and fragile; quality assurance is vital to prevent costly errors.

  

Production Monitoring: 

  1. We ask for photos/videos during production.
  2. Pre-Shipment Inspection (PSI): For large orders, Kenny will travel to the factory and inspect the goods before they are packed.
  3. Checklist: Quantity, dimensional accuracy, shade consistency, and packaging integrity.


 Due to weight, tile is almost always shipped via ocean freight.

  

Freight Forwarder:

  1. Our manager does the booking and documentation.

Shipping Method:

  1. FCL (Full Container Load): Most cost-effective. Uses a dedicated 20\text{-ft} (heavy weight capacity) or 40\text{-ft} container.
  2. LCL (Less than Container Load): For smaller orders sharing space in a container.

Packaging:

  1. Ensure export-standard packaging (wooden pallets, corner protectors, strong cartons) to minimize breakage.

Insurance: 

We generally purchase cargo insurance.

  1. Documentation and Customs Clearance
  2. Correct paperwork is essential to avoid delays at your destination port.

Required Documents:

  1. Commercial Invoice & Packing List
  2. Bill of Lading (B/L)
  3. Certificate of Origin (CO)(often required for tariff calculations)
  4. • Testing/Conformity Reports

Customs Clearance:

  1. • Utilize a customs broker to handle import declarations and duty/tax payments.


Note: Check for anti-dumping duties on Chinese ceramic tiles in your specific region (common in the EU, USA, and others) before ordering.
